1. How Our Address May Be Used
This service is for UK customers only.
You can use the address on websites, business cards, letterheads, contact address, general correspondence, Companies House, HMRC, trademarks and patents.
Your mail is identified in the following format:
Your Name or Company Name or Business Name
Note: Full address will be sent to your welcome email once you have completed registration.
It is important that you use the wording INTERNATIONAL HOUSE in your address, so your mail arrives at our office.
2. How Our Address May Not Be Utilised
We offer only a business correspondence address or registered office service for receiving and forwarding standard or large letters. You may not imply that you have a physical presence here.
We do not allow any parcels to be received. All parcels will be returned to sender.
4. Circumstances When No Refund Will Be Given
a. We reserve the right to cancel your service immediately without a refund if terms and conditions are breached.
b. We reserve the right to cancel the service if we do not receive a reply to email correspondences within 7 days.
c. We may inform law enforcement agencies if we suspect our address is being used for any illegal or immoral activity. We will immediately suspend the service, send you an email, and will give a deadline to contact us to avoid cancellation.
5. Circumstances When Refund Will Be Given
Full refunds will be given if the address has not been used to register a company and/or service address on Companies House or used as a correspondence address for your business and only within 28 calendar days of signing up.
We reserve the right to cancel the service at any time. In that unlikely event, we will give at least 14 days notice, when possible, and refund in full any remaining unused days of the fee if paid in advance. The method of refund is at our discretion and any transaction charges incurred by us will be deducted from the amount being refunded.
6. Cancellation By You
If you wish to cancel the service, you must contact us by letter or e-mail. You must also make alternative arrangements for your letters. Please note: If cancelling a registered office address service you must first notify Companies House of your new address. No mail will be forwarded after the cancellation date.
7. Renewal of Services
FreeVirtualOffice is only free for the first year of registration. Customers will be required to upgrade to a higher packakge on subsequent renewals. We reserve the right to deny renewal of service after each monthly period. When an account expires we will hold customers' mail for up to 14 days pending renewal before we return mail back to the sender.
8. Barclays Business Bank Account Referral Service
FreeVirtualOffice.co.uk does not guarantee the provision of a business bank account to its customers. The Business Bank Accounts are opened by and provided by Barclays Bank UK PLC and subject to the terms and conditions as set forth by Barclays at the time of account opening. All customers who have requested a business bank account, including all UK Company Formation Service requests, agree to the following terms:
I. Where you request a bank account through The Business Bank Account Referral Service you confirm that you agree to your details being submitted on your behalf to Barclays Bank UK PLC and to being contacted directly by Barclays Bank UK PLC for the purposes of fulfilling the bank account request.
II. Where you request a bank account through The Business Bank Account Referral Service on behalf of a third party for whom you are making a company formation application, you confirm that the third party has agreed to their details being submitted on their behalf to Barclays Bank UK PLC and to being contacted directly by Barclays Bank UK PLC for the purposes of fulfilling the bank account request.
III. 'Cashback' offers are entirely at the discretion of FreeVirtualOffice.co.uk with regard to the timing of the payment to the client. The amount paid is in ratio to the value of the services bought via our website. FreeVirtualOffice.co.uk reserves the right to vary such offers and payouts at its discretion.
a. Processing Barclays Cash-Back
The Barclays referral service is only for UK-based limited companies. At least one director will need to be a UK resident. For sole traders looking to open a personal account, or a business account, they will need to contact Barclays directly.
Once a referral is submitted across to Barclays, they will contact you within 48 hours. Please note: it is entirely up to them when, and if, they will contact you.
Barclays will arrange an appointment, at a branch of your choice, at a convenient time to open the business bank account.
If you successfully open a bank account through us (within 90 days of submission) you will need to email us:
Proof of bank account opening (e.g. letter)
Your Business name
Your new account number
Your new sort code
and FreeVirtualOffice.co.uk will process your cash back within 30-75 days.
9. Returns of Misdirected Post
Should clients receive, by accident, any mail or letters not specifically addressed to them by the sender, they shall be obliged to return said mail to Free Virtual Office at their own expense and we will give 1 month's credit in compensation.
10. Set Up Fee
All customers are subject to a £5 setup-fee to be able to use FreeVirtualOffice services.
11. Identity & Proof Documents
In order to receive our services you will be asked to provide us with a copy of the following forms of identification:
• Copy of Driving license or passport or European identity card
• Copy of any utility bill, or bank statement that has your name and address on it
We require proof of your identity and proof that you have lawful access to your mail forwarding address, before forwarding any mail. This is a legal requirement in the United Kingdom. Such proofs can be sent to us by email or in person.
In the absence of such proofs we may hold and retain your mail, for a limited time period (a maximum of 14 days), at our discretion, until such proofs are supplied and subsequently, if said proofs are not forthcoming, return said mail to sender. We will not be liable for any loss, harm or consequence suffered by you or a third party as a result of this procedure.
In certain instances, we may ask for the original documents to confirm and verify details that you have provided us. Failure to provide such documents within 7 days of our request may result in immediate termination of service without notice or refund.
12. Collection of Letters
Collection of post will take place at your virtual office at Silvertown, Constance Street in East London. Letters must and can only be collected on weekdays at the time-slot specified through the booking system.
Letters can only be collected when presented with a valid and substantial ID document from the account holder. These documents can include a passport, drivers licence, utility bill or bank card.
Parcels can not be collected under any circumstances. We reserve the right to refuse and return unauthorised parcels that arrive at the address. Letters thicker than 2.5cm and heavier than 750 grams will be considered a small parcel.
Letters will only be held at the address for a maximum of 14 days. After the 14 day period letters will be returned to sender.
13. Change of Details
You must inform us immediately in writing or via email of any changes to your contact details and business scope.
Due to the type of service we provide, any compensation claim shall be limited to one month's service (one twelfth of the annual fee). We do not
accept any liability for lost, stolen, damaged, late or otherwise misdirected or mishandled items of mail. We cannot accept any compensation
claim that is the result of consequential loss to your business.
By accepting these terms, you fully agree to indemnify us from any such claim. You also agree to fully indemnify us from any claim, for whatever reason, from a third party, including partner services, and that any such claim will be handled solely and completely between yourself and the third party.
15. Change of Terms and Conditions
These terms and conditions are subject to change. However, we will notify all customers of any significant change via email. If upon receiving the email no action is taken then we will accept
your silence as acceptance of our terms.
